The real estate presales playbook: from new lead to booked site visit

What presales is for

In many Indian developers’ teams, presales sits between marketing and the closing managers at the site. Marketing brings enquiries; presales calls them, qualifies them and books site visits; closing managers host the visit and work towards a booking. When presales works well, closing managers spend their time with buyers who are ready to see the project.

The first call

Call within minutes of the enquiry during working hours. A useful first call:

  1. Introduces you and the project, and mentions what the buyer enquired about.
  2. Confirms the configuration and budget they are looking for.
  3. Answers one practical question well, such as price, possession or location.
  4. Offers a specific site visit slot, or a video walkthrough if they are not ready.
  5. Sends a WhatsApp message straight after with the unit details, the cost sheet and the location pin.

Qualification questions

Keep qualification to a few questions, asked naturally:

  • Configuration and preferred floor or facing
  • Budget range and whether a home loan is planned
  • Timeline for buying
  • Purpose: own home, investment or for family
  • Who else is part of the decision, and who will come to the site

Record the answers in your CRM so the next caller does not ask again.

Order the call list by intent

When there are more leads than calls in a day, order matters. Put first the buyers who are showing intent now: returning to the same unit, comparing two or three units, opening a cost sheet or sharing a shortlist with family. Next come new enquiries, then older leads with no recent activity. See real estate lead scoring.

Follow up on a rhythm

Agree a standard follow-up rhythm for buyers who do not answer or are not ready, for example a call and WhatsApp message on the day of enquiry, again the next day, then a few days later and about a week after that, before moving them to nurturing. Break the rhythm whenever the buyer becomes active again: a buyer who returns to your website after weeks of silence is one of the best calls of the day. See why real estate leads go cold.

Book visits that happen

  • Offer two specific slots rather than asking when they are free.
  • Confirm on WhatsApp with the date, time, location pin and the name of the person who will meet them.
  • Send a reminder the day before and on the morning of the visit.
  • Ask whether family members are coming, so the site team can prepare.

Hand over with context

Before every visit, give the closing manager a short note: the units the buyer is interested in, budget, timeline, who is coming, questions already answered and any concerns raised. The buyer should never have to repeat themselves at the site.

What to measure

  • Time from enquiry to first call
  • Share of leads reached
  • Lead-to-site-visit conversion
  • Share of booked visits that actually happen
  • Bookings from presales-booked visits

Common presales mistakes

  • Calling in order of arrival while serious buyers wait.
  • Long scripts that delay the useful part of the call.
  • Asking the same questions on every call because answers were not recorded.
  • Stopping follow-up after a few unanswered calls, even when the buyer is still active online.

How Spotmink helps

Spotmink gives presales a call list ranked by buying intent, with the reason next to each name, and a nudge when a buyer is back on a unit or opens a cost sheet. Callers see what each buyer looked at before they dial, so the first sentence is about the right unit. Learn more about Spotmink for sales teams.

Frequently asked questions

What does a presales team do in real estate?

Presales calls new enquiries, qualifies them and books site visits, then hands each visit to a closing manager who hosts it.

How quickly should presales call a new lead?

Within minutes during working hours. Interest fades quickly, especially for leads from social media and portals.

How many times should presales follow up?

Agree a fixed rhythm over about a week before moving a lead to nurturing, and call again whenever the buyer becomes active.

How do you reduce site visit no-shows?

Offer specific slots, confirm on WhatsApp with a location pin and the host's name, and send reminders the day before and on the morning of the visit.
